Lions Brass 4 Youth - Privacy Notice 2018
Lions Brass 4 Youth are committed to protecting and respecting your privacy. For any personal data you provide for the purposes of your membership, Lions Brass 4 Youth is the Data Controller and is responsible for storing and otherwise processing that data in a fair, lawful, secure and transparent way.
What personal data we hold on you?
You may give us information about you by filling in forms, or by corresponding with us by phone, e-mail or otherwise. This includes information you provide when you register with Lions Brass 4 Youth. The information you give us may include your and your child’s name, your child’s date of birth, your address, e-mail address, phone number and your child’s school. We may also ask for relevant health information which is classed as special category personal data.
We will only collect data required for the safe administering of Lions Brass 4 Youth.

The reason we need your personal data is to be able to administer the bands within Lions Brass 4 Youth. Our lawful basis for processing your personal data is;
Consent – You have given us your consent for processing your personal data
Legitimate interests – The processing of your personal data may be necessary for the purposes of legitimate interests pursued by us or a third party, except where such interests are overridden by your interests or by fundamental rights of freedoms which require protection of personal data.
Your data may be processed for membership and management of the bands within Lions Brass 4 Youth including
● processing of membership forms and payments;
● sharing your data with committee members in order for them to provide you with information about Lions Brass 4 Youth activities, membership renewals or invitation to social events;
● Safeguarding and Incident recording.
Any processing of data relating to medical conditions is necessary for protecting the vital interests of the child in accordance with Article 9 (2)(c) of GDPR. We may share information relating to medical conditions of young people with band officers or volunteers working with them where they have demonstrated a legitimate and lawful interest in the information to make necessary arrangements or adaptions to meet safety and welfare needs of the child. We also have a legal obligation to share information if we have concerns about the welfare of the young person.
Lions Brass 4 Youth has a social media page on Facebook. All members are free to join this page. If you join the Facebook page, please note that provider of the social media platform has their own privacy policy and that Lions Brass 4 youth do not accept any responsibility or liability for this policy. Please check this policy before you submit any personal data on the club social media page.
Who do we share your personal data with?
When you become a member of Lions Brass 4 Youth, your personal data may be shared with committee members and Lions Brass 4 youth band officers for the purposes set out above.
Lions Brass 4 Youth does not supply any personal data it holds to any other third party without your consent.
How long we hold your personal data?
We will hold your personal data on file for as long as you are a member of Lions Brass 4 Youth and beyond if you have given us consent. If you do not wish for this data to be retained for this purpose you have the right to request its removal at any time by notifying the LB4Y secretary in writing via our website. Your data is not processed for any further purposes other than those detailed in this policy.

As a data subject you may have the right at any time to request access to, rectification or erasure of
your personal data; to restrict or object to certain kinds of processing of your personal data, including
direct marketing; to the portability of your personal data and to complain to the UK’s data protection
